We are seeking a part-time Office Assistantfor our Buffalo, MN office. The Office & Assembly Assistant provides daily support to office staff, making and distributing photocopies, mailing letters/packages, ordering supplies, and more. S/he is also responsible for the administrative review and assembly of financial statements, tax returns and other client deliverables. Office & Assembly Assistant will conduct any and all administrative and office-related tasks as directed by office or administrative leadership.
Work Activities & Accountabilities
The below functions reflect the general details necessary to describe the essential work activities and accountabilities of this position and are not all inclusive. Other activities may be assigned.
Administrative: Performs full administrative duties and routine office functions, as requested. Schedule appointments/meetings for office personnel and conference room calendars including reservations of office equipment and resources. Performs various word processing and spreadsheet tasks with accuracy and in compliance as assigned. Facilitate daily mail duties, collection and distribution to include receiving and sending packages.
Assembly: Is responsible for administrative review and timely assembly of financial statements, tax returns and other client deliverables, focusing on attention to detail and overall product presentation.
Data Entry/Recordkeeping: Collects and organizes information/data for reports, correspondence, spreadsheets and presentations. Scans documents into computerized systems according to the established paperless process.
Reception: Performs relief receptionist functions including answering and transferring calls on a multi-line telephone system, caring for routine client inquiries, receiving and directing visitors in a friendly and professional manner.
Technical Competencies: Proficiency in Microsoft (MS) Windows and Office Products is necessary. Regular use of MS Word, MS Excel, MS Outlook, MS PowerPoint, STAR, and Adobe. Knowledge of QuickBooks preferred.
