We are seeking a Front Desk/Administrative Assistant (Internal Operations Coordinator ) in our Albuquerque, N M office. The Internal Operations Coordinator supports the Operations Director, Finance-STAR Champion, Service Processing Coordinator, Impact/People Coordinator, Marketing/CRM Coordinator, and other professionals and para-professionals. S/he is also responsible for front-office management.
The below functions reflect the general details necessary to describe the essential work activities and accountabilities of this position and are not all inclusive. Other activities may be assigned.
Front Office Management : Answer phones, as needed (coordinate with other offices). Manage front desk hosting for clients and guests. Manage parking needs for guests. Coordinate all mailing and add charges to STAR by client. Certified mailing. Printing, binding of all deliverables. Maintain the production room including all supplies & copier needs. Assist with offsite file needs.
Conference Room Management: Coordinate all food orders, and clean up thereafter. For any conference room booked – proactively inquire of what is needed. Assist with booking additional space as needed. Ensure the rooms are reset (chairs) nightly. Coordinate Learning and Development needs with Impact/People Coordinator.
Peak Season Assistance : Support Tax Processing Coordinator and tax services team. Manage scans of tax organizers and distribute to the team. Assist with assembly and delivery as needed. Prepare certified mailings.
Engagement Team Assistance : Attend to various tasks for engagement teams through a task management system in Outlook, including, but not limited to: travel arrangements and research, research for venues for events, dinners, etc. and ad hoc needs of the teams.
Client Document: Create financial statements, management letters, engagement letters, and reports for staff, usually from rough draft, and edits for grammar, punctuation, and spelling as needed. Proofreads and coordinates the assembly of client financial statements. Sorts and files office copies of financial statements or other documents efficiently, purging outdated files as needed. Assists with development and proposals as needed.
Marketing / CRM Assistance: Work with Marketing/CRM Coordinator to enter all contacts and opportunities. Assist with proposals – creation, finalization and delivery.
Internal Operations Team: May have accountabilities across other internal operations roles.
