We are seeking a Service Processing Coordinator for our Owatonna, MN office. The Service Processing Coordinator is a paraprofessional role providing support to the client serving teams by conducting specific services activities (generally in assurance and tax) and client support. S/he is accountable for managing tax filings through the regional Tax Assembly Pools and drives the engagement team to ensure tax deadlines are met in a timely manner. The role also supports the services team leaders (generally in assurance and tax) in managing the business functions and growth through marketing activities.
Work Activities & Accountabilities
The below functions reflect the general details of the essential work activities and accountabilities of this position, but are not all inclusive. Other activities may be assigned.
Proactively support team leader in managing the tax practice by assisting with billing as needed, managing the CRM system for additional engagement opportunities, monitoring workflow to assist with staff scheduling needs, and any other needs of the team leader
Supporting the tax services team locally as entry-level assistance for preparation of tax returns, as needed
Manage client deadlines and all reporting through GoFileRoom and CCH ProSystemFx to ensure no client deadlines are missed
Manage workflow through Tax Assembly Pools and provide full assembly support – electronic and paper, as needed
Submit returns for e-filing; monitor and resolve acceptance/rejection; manage exceptions thereafter to ensure timely filing of all returns
Prepare and submit tax extensions as directed by staff and team leader
Proactively manage database and workflow systems to ensure accurate maintenance of client data
Creates financial statements, management letters, engagement letters, and reports for staff, usually from rough draft, and edits for grammar, punctuation, and spelling as needed
Proofreads and coordinates the assembly of client financial statements
Sorts and files office copies of financial statements or other documents efficiently, purging outdated files as needed
Assists with development and proposals as needed
Process client source documents, provide completed returns and instructions to client for completing workflow process
Ensure the collection of authorization forms (8879) from clients before tax returns are released
Respond to client needs on behalf of tax team as needed to assist in time and workflow management
Responsible for tracking and managing all tax eFile deadlines for the local office
E-file form management, ensuring all forms are collected and processed timely, and proactively engaging office paraprofessionals to assist with peak filing deadlines
Proactive Team Assistance – Operations & Support
Conducts training to ensure all paraprofessionals are able to assist with tax processes during peak busy seasons
Supports fellow Paraprofessional team during peak busy seasons
Receptionist/Office Assistant work as needed
