The American Civil Liberties Union of Minnesota is looking for a Finance and Operations Administrator to join our team! Working closely with the Finance and Operations Director and the Operations and Technology Manager, the Finance and Operations Administrator will assist with a broad range of bookkeeping and administrative support tasks.
The position is based in our Minneapolis office, providing access to the best that the Twin Cities area offers.
Our Finance and Operations Administrator will:
Provide Administrative Support by:
Creating an office atmosphere that is positive, respectful and welcoming by greeting visitors and helping support an overall clean and professional appearance of the office.
Facilitating communication among the staff by scheduling and staffing regular meetings and among the community by responding to general inquiries via phone and email.
Helping ensure efficient office operations by handling incoming and outgoing mail as well as fulfilling staff requests for office supplies, food orders and event supplies.
Support the Executive Director and Board of Directors by:
Handling all Board administrative functions: updating board member and committee lists/contact information; coordinating agendas, minutes, and reports; preparing quarterly meeting packets; updating and distributing orientation manual to new board members.
Adding and updating documents on board portal.
Attending and taking minutes at quarterly board meetings.
Managing meeting and travel arrangements as needed.
Providing the Executive Director with administrative support, including booking travel, making copies, typing letters and staffing meetings.
Provide finance department support by:
Promptly and accurately entering donations in accounting system.
Preparing weekly bank deposits.
Processing online/monthly donations.
Maintaining accurate, up-to-date credit card information of monthly donors.
Processing all AP/AR and maintaining complete and accurate AP/AR records in our bookkeeping system and in paper records; verifying all transactions are compliant with organizational policies and best practices.
Researching vendors, verifying competitive pricing and item quality for all major purchases.
Maintaining financial records, ensuring compliance with confidentiality and audit guidelines.
Reconciling monthly credit card and banking statements against paper records.
Working with development staff on monthly reconciliation of financial and donor databases.
Assisting Finance and Operations Director with the annual audit and revenue reconciliation with National ACLU.
At least 3 years of finance/administrative support experience in a professional environment.
Knowledge of generally accepted accounting principles and procedures and their application to basic accounting.
Proficiency with QuickBooks or Sage Intacct and sophisticated computer and clerical skills, including Microsoft Word, Excel and Outlook.
Ability to produce precise, accurate and professional looking documents.
Impeccable organization skills with intense attention to details.
Excellent oral and written skills.
Understanding of and passion for the ACLU mission.
