Funding Strategy and Prioritization
Subject Matter Expert
Develops and maintains a comprehensive understanding of Trillium Health’s current grant funding and the associated programs which are funded via those dollars.
Develops and maintains a comprehensive understanding of local, regional and national foundations and funding opportunities.
Establishes and maintains relationships with current and potential funders; research funders that would be a good match for Trillium Health’s strategic priorities.
Collaborates with Development Office to cultivate and nurture organizational relationships with funders—especially foundations and corporations.
Directs and collaborates with Grant Office personnel to identify gaps in current grant portfolio compared to the organizations strategic initiatives and implements an overall grant strategy/work plan that focuses on those identified priorities.
Works with program leadership in developing transition plan (recommendation for continuation or termination of a program) as existing grants expire (i.e. identify new funding sources, pursue program income funding, reallocate staff, close the program, etc.).
Grants Office Center of Excellence
Oversees, working with the Grants Administrator, finance, and business intelligence, the development and implementation of a Grants Office approach to grant management at Trillium Health.
Develops an annual, overall Grant Plan including the year’s total grant funding goals, the specific prioritized strategic initiatives being focused on, the specific grants ending within the year, and cyclic or new RFPs/CFAs to anticipate.
Develops an easy to maintain Grants Dashboard that provides point-in-time snapshots of Trillium Health’s grant performance.
Develops a set of Grants Office metrics to assess the effectiveness and ROI of the centralized Grants Office.
Identifies best practices and implements with the goal of continuous quality improvement.
Provides coverage for Grants Administrator based upon workload, absence, and/or as assigned.
Develops and maintains a Grant Library, including stock language and up to date forms for utilization in grant proposals (i.e. summary of agency, mission/vision, proof of current worker’s compensation insurance, etc.).
In conjunction with Grants Office personnel, provides periodic workshops for Trillium Health staff regarding typical grant process including common grant elements, best practices, typical grant application process, etc.
Maintains and shares resources related to proposal development, preparation, and submission that may be used for pursuit of less substantial funding opportunities that program staff plan to pursue, but for which the Grants Office does not have capacity to fully coordinate/shepherd the proposal.
Serves as an editor and/or grant writer for funding opportunities/proposals
Coordinates proposal development with program staff (care management, community health initiatives, clinic, development, etc.) including assisting with determination of measurable objectives
Assembles and reviews all proposal components for completeness, consistency, and continuity amongst sections. Edits submissions as appropriate and requests additional information and details as required.
Works with finance department, human resources and program leadership to develop grant budgets and to ensure continuity between written proposal and finance documents.
Follows organizational process for review and sign off completed proposal.
Submits all grant application components in compliance with funder’s requirements.
Notifies appropriate members of leadership and proposal development workgroup of funder’s decision.
Notify leadership and grant program owner/manager of timeframes, reporting requirements, budget restrictions, etc.
Notify departments that will have responsibility for various components of grant implementation, tracking, and reporting.
Develops and implements plan for relationship management with the funder including progress and financial reporting, offering/hosting site visits, periodic contact with funder
Determine the program owner/manager’s comfort level and capacity to implement the funding opportunity and transition to the program leadership for implementation. Note: This may involve a direct handoff, request for Project Management support/assignment, etc.)
Ensures transition of grant from application stage to ongoing maintenance via Grants Administrator
Obtain copies of reviewers’ notes, scores, and feedback if available.
Contact funder to request additional feedback and/or proposal review and debrief if available.
Facilitate internal debrief regarding lessons learned, strengths, and opportunities for improvement.
Document feedback including lessons learned and utilize knowledge in future proposals.
Manage multidisciplinary workgroups during the completion of RFAs, NOFOs, and other associated responses to funding opportunities.
In conjunction with program and financial staff, develop project plans to ensure the timely completion of RFAs, NOFOs, and other associated responses to funding opportunities.
Manage and provide support to the organization’s long-term initiatives and short-term projects utilizing the 5 key process groups of project management: Initiating, Planning, Executing, Monitoring and Controlling, and Closing
Provides the structure for the project utilizing project management tools and approaches
Develop project charters in collaboration with Executive Champions/Project Sponsors and clearly document project goals, timetables, and metrics to evaluate success
Build work groups, orient team members to project charters, and build project plans.
Coordinate and manage project tasks to ensure project delivery within allotted budget and time
Encourage and support project team members to meet deliverables and encourage accountability to agreed upon deadlines
Consults with and advises project leaders (i.e.: Executive Champion and Project Sponsor) regarding effectively managing project scope, schedules, budgets, and changes
Ensures project-reporting requirements are met
Identify and secure needed training in collaboration with Human Resources and department supervisor to teams to achieve performance targets.
Design and execute communication channels amongst team members
Build and maintain strong internal and external stakeholder relationships through regular meetings, follow up, and communications
Provide support/assistance as assigned for organizational wide initiatives and projects.

Bachelor’s degree in Business Administration/Management or Finance required. Proven track record in grant proposal development and writing including, but not limited to, local and state government grants, federal funding requests, local United Way grants, capacity building proposals, and funding requests to private and family foundations (ranging from $5,000 to $2M). Requires minimum of seven years related experience, including four years in proposal development and grant writing with a minimum of five years of project management and supervision experience. Requires demonstrated working knowledge of grants and grant administration systems, processes, and budgeting. Ability to comprehend and make inferences from written material and systematically compile information to prepare reports; review the work products of others to ensure conformance to standards; communicate with strong oral and written skills and a proven ability to effectively interface with individuals within and outside of the organization; work effectively and collaborate with members of the executive team, a variety of other staff, governmental representatives, and foundation program officers. Must be highly proficient in Word and Excel.
