The New England College of Optometry (NECO) invites applications for the position of Assistant Controller. Reporting to the Controller/Executive Director of Financial Operations, this hands-on position is responsible for the overall direction and oversight of financial operations, including Student Billing and Travel/Procurement Card Services. The Assistant Controller will be an integral member of the Business Office team, assisting with the month-end and year-end closing processes, ensuring that financial statements and internal and external reporting are prepared to the highest standard. The Assistant Controller will work closely with the Controller/Executive Director of Financial Operations and the Executive Vice President/CFO to ensure all critical components of the Business Office are functioning efficiently and effectively.
The Assistant Controller, along with the Controller/Executive Director of Financial Operations is responsible for the daily management of the Business Office. The Business Office serves students, staff and faculty as a service center; the Assistant Controller works with the staff to maintain good customer service for its constituents. The Assistant Controller is responsible for the integrity of accounting information by recording, verifying, and approving transactions. The Assistant Controller will work closely with the Controller/Executive Director of Financial Operations and all Business Office staff in all matters relating to the monthly and annual close processes and the annual budget process.
Principal Areas of Responsibility
The Assistant Controller supervises a Senior Staff Account that works with the Senior Student Accounts Specialist to process all student billing, collections and cashier functions. The Assistant Controller works closely with the Financial Aid Office in the management and disbursement of the College’s Federal and institutional loan funds; assists in maintaining all sub-ledgers for student accounts and student loan funds; and acts as liaison to Heartland ECSI, the College’s student loan servicer.
Working with the Disbursements Manager, the Assistant Controller will review all A/P checks before signing by senior management. Working with the Disbursements Manager and a Senior Staff Accountant, the Assistant Controller will be responsible for ensuring that payroll labor distribution entries and gross to net entries are prepared and posted timely and accurately.
Working with a Senior Staff Accountant, the Assistant Controller is responsible for maintenance of the fixed assets sub-ledger in accordance with the College’s policies and best practices; manage reconciliation of the sub-ledger to the general ledger each month; process monthly depreciation entries; work with Facilities Department on capital projects and construction in progress account reconciliations, maintain capital project reports per annual capital budget; and account for asset disposals in accordance with generally accepted accounting principles.
General Accounting and Budgeting
The Assistant Controller prepares general journal entries monthly, quarterly and annually; reconciles balance sheet accounts, supervises the reconciliation of all accounts prepared by the Senior Staff Accountants. Working closely with Controller/Executive Director of Financial Operations and a Senior Staff Accountant the Assistant Controller helps to prepare the College’s annual operating and capital budgets.
Working with the Controller/Executive Director of Financial Operations the Assistant Controller coordinates the annual workers’ compensation audit, reconciles prepaid insurance accounts, ensure adherence to travel and vehicle policies in areas of insurance and risk, completes annual insurance policy renewal applications, and maintains records regarding the College’s owned vehicles, medical liability, D&O and other policies in accordance with best practices.
The Assistant Controller will work closely with the Controller/Executive Director of Financial Operations to implement our new cloud-based finance management system Blackbaud Financial Edge, including online student billing,
Working with the Controller/Executive Director of Financial Operations the Assistant Controller will prepare annual reports for the Department of Education, Financial Aid reporting, US and Canadian tax forms for students, sales tax filings, oversee W-2 and Form 1099 annual reporting and other reporting as needed. The Controller will work closely with the College’s external auditors on the annual financial audit and the Financial Aid audit.
• Bachelor’s Degree in Accounting required; Masters level or CPA preferred
• Minimum of 7 years of related work experience, preferably in higher education accounting and/or fund accounting
• Excellent interpersonal, oral and written communication skills required
• Solid leadership skills and ability to motivate and educate
