To manage and be responsible for the application of accounting knowledge and abilities in the preparation of department financial and staffing reports and statement.
Responsible for coordination and management of the financial records and reconciliation for department accounts within the unit of Involvement & Engagement. Prepares budgets and manages accounts and financial transactions in UT Share including but not limited to procurement cards, travel, processing of payments, purchase orders and reimbursements. Manages budget transfers and reconciles accounts for the department. Work with unit Administrative Assistants for accounting operations are in compliance with University procedures and regulations. Oversee Administrative Assistants with cash handling procedures to ensure proper documentation is provided and accurate. Manage vendor set-up process and develop accounting procedures and methods. Advise department directors and administrative personnel on accounting policies and procedures. Operations of payroll, record, and maintenance of all staff vacation/sick leave. Process contracts and pro-card reconciliation process. Manage and oversee Income and expense processing. Performs other duties as assigned.
Bachelor's degree. One (1) year upper level secretarial experience or high school or the equivalent experience. Five (5) years or increasingly responsible record keeping, accounting, administrative, secretarial, and clerical experience with one (1) year of supervisory experience. Use of a personal computer and proficiency with Microsoft office suite (word, PowerPoint, excel, outlook) and standard office equipment. Effective organizational skills necessary. Knowledgeable in the areas of record keeping, accounting, budget management. Excellent written and oral communication skills needed. Comfortable working with a diverse population.
Experience with UT Share/PeopleSoft. Experience preparing appointment documents, entering, and reconciling payroll, and maintaining databases. Experience writing/preparing correspondence for a high-level administrator. Excellent communication skills. Experience providing consistent administrative and operational support to peers and senior management. Successful history of planning, coordinating, streamlining, and executing events and office processes to increase efficiency and to improve service. Maintain excellent communication skills, problem resolution abilities, and a high level of confidentiality. Strong time management skills, professional appearance, strong interpersonal skills and familiarity with accounting principles and concepts. Detail-oriented with a track record of organization, managing schedules, preparing travel arrangements, office logistics, meeting deadlines and the ability to multi-task in a fast-paced environment.
