JOB DESCRIPTION: The Senior Accountant reports to the Finance and Business Manager and Head of School and is responsible for the support that allows faculty, staff, and student achievement of the Expected Schoolwide Learning Results, including:
Maintaining books of account (including but not limited to processing bills, preparing checks, gathering receipts, coding and posting invoices, preparing and recording deposits, journal entries, reconciliations)
Reviewing all expense reports for accuracy and proper expense disclosure classification and reporting any variances to Finance and Business Manager and/or Head of School
Liaising with project staff and front desk and supporting them in bookkeeping needs related to their program areas
Completing monthly reconciliation for all bank accounts, including the school’s investment accounts
Reviewing outstanding check log and communicating status to Finance and Business Manager
Assist with transition of books of account from Quickbooks to Blackbaud Financial Edge
Payroll and Benefits Administration
Completing all payroll functions including approval by Finance and Business Manager and Head of School; updating payroll audit schedules (salaries, taxes, and benefits)
Completing the quarterly 941 reconciliation
Tracking requests for time-off, bereavement, vacation, and sick time
Assisting Finance and Business Manager with health benefits and retirement plan administration and in particular with new and departing employees.
Completing the quarterly Healthy San Francisco benefit compliance
Coordinating with the Development Office
Liaising and reconciling with Development Director on donations, fundraising, and grants
Performing bi-annual and annual reconciliation for donations between Raisers Edge and Quickbooks/Financial Edge
Processing the tuition assistance applications
Student Billing and Accounts Receivable
Completing all student billing functions (tuition, summer programs, and fees for other services)
Updating revenue and financial assistance accounts monthly
Reviewing accounts receivable, updating payment schedules in Excel and Smart Tuition, and following up on past due accounts
Liaising with Admissions and Head of School on student enrollment and re-enrollment
Financial Analysis and Reporting
Reviewing cash flow requirements with Finance and Business Manager and Head of School
Maintaining year-end working papers and spreadsheets and assisting with preparation for taxes, audits, and/or any other independent reviews with support from the Finance and Business Manager
Providing information regarding finances for the Parents Association
Working with the Finance and Business Manager and Head of School to ensure the school’s chart of accounts and reporting systems reflect and measure school goals
Providing back-up and support to the Financial and Business Manager as needed
Coordinating closely with the Project Manager, Board, Architects, and School constituencies to manage the development of the plans and the building of the Lower Level of the School
Performing other duties as assigned for assistance throughout the School
4-5 years in house accounting experience
Knowledge of Blackbaud Financial Edge, ADP Workforce Now, and Quickbooks preferred.
