Revenue & Support Accounting Specialist performs a variety of accounting activities related to the billing of earned government contract revenues, and the receipt and recording in QuickBooks of funds from foundations and corporations, individual donations, and fundraising activities. Under the supervision of the Director of Finance and Administration the Revenue & Support Accounting Specialist will provide accounting and administrative support to the activities of the Finance Department.
The scope of the work for this position includes these key categories: 1) Billing of earned government contract revenues, 2) Application and maintenance of revenues into QuickBooks accounting system, 3) Maintenance of accounts receivable, general ledger, and all related systems in support of agency revenues and support of program activities.
ESSENTIAL DUTIES: Administrative Support o Provide notice to management of incoming receipt of unbilled income o Coordinate, prepare, and facilitate the depositing of all incoming receipts o Meet with program staff to affect the smooth flow of documents used to prepare monthly billing o Attend and articulate all Finance Department issues and concerns at monthly agency all-staff meetings o Respond to all administrative inquiries from funders, governmental agencies, and other agency-related third parties o Manage and coordinate all workers compensation audits o Assist in the coordination and flow of information for the agency annual financial audit o Coordinate monthly financial personnel meeting Accounting & Finance o Maintain cash receipts binder and prepare bank deposits o Apply all incoming receipts or billed revenues to accounts receivable clients in QuickBooks accounting system o Coordinate, acquire, and maintain accounting records from accounts payable personnel required to support agency monthly cost reimbursement invoices on a weekly basis o Aid and support in preparation of quarterly board financial statements and agency annual budget o Reconcile monthly bank accountant statements o Record monthly allocation journal o Prepare month-end adjusting payroll accrual entries o Maintain the agency statement of monthly cashflow
PREFERRED QUALIFICATIONS • Bachelor’s degree in accounting or business, or a minimum of 2-3 years of general accounting experience • Familiarity and literacy with accounting software (preferably QuickBooks Online and Sage MAS90) and payroll processing services (preferably ADP Workforce Now platform) • Knowledge of accounting, principles and procedures • Working knowledge of Microsoft Office (Word, Excel, etc.) • Well organized and attentive to detail • Ability to meet deadlines • Ability to work without supervision • Ability to maintain confidentiality • Good analytical, communication, interpersonal, and problem-solving skills • Experience in government accounting • Experience preparing cost reimbursement billing invoices • Experience preparing fee for service billing invoices • Experience working with in accounting for government agencies and universities
