Applied Marketing Science, Inc. (AMS), a leading-edge market research and consulting firm located in Waltham, Massachusetts is seeking a Controller who will have overall responsibility for financial reporting, accounting and accounting policy, budgeting and forecasting, contract management, insurance, internal controls and taxes. The Controller will also coordinate with AMS's IT Director and appropriate vendors to ensure IT compliance.

Essential Duties & Responsibilities:
Responsible for all aspects of month-end close and year-end reporting including account reconciliations, journal entries, intercompany transactions and accruals
Produces monthly financial statements and documents including updated projections of future revenue and expenses
Creates annual financial plan and budget for approval by management
Collaborates with project managers on project budgets and schedules and updates projections and accruals monthly
Provides financial reports needed for company meetings, principal meetings and board meetings
Performs cash management and cash planning including year-end cash planning
Manages Accounting Assistant
Monitors Field log PO list for accuracy and updates
Oversees accounts receivable and accounts payable, provides backup when needed
Monitors credit cards
Ensures accuracy of Quickbooks and provides guidance when needed
Manages relationships with broker, TPA and investment company
Manages AMS 401k plan, investments, documents and compliance
Assures that all 401k deposits are made on schedule
Prepares annual census and coordinates for annual reporting, financial reports, compliance reporting and 401k audit with TPA
Prepares reports for outside agencies for annual reporting, financial reporting, taxes and any audits
Remains contact for and works with CPA firm for tax preparation and filing and applicable financial reporting
Assures that all estimated and year-end state, federal, unemployment taxes and updated forms are made on schedule
Files annual reports in required states
Monitors cash flow and updates tax estimates
Manages and files monthly and quarterly use tax to states
Approves semi-monthly payroll, including any expense reimbursement, medical and dependent care accounts and records in Quickbooks
Provides back-up for payroll when needed
Coordinates with HR Manager to ensure accuracy of monthly invoices for benefits including health, dental, life, and flex spending accounts
Coordinates with broker and independent consultant for annual renewals of insurance for general liability, professional liability, errors & omissions and directors & officers, and any other insurance needs
Handles any insurance claims
As appropriate, reviews and approves contracts for AMS services to clients and from vendors, and maintains files regarding contractual obligations, renewal dates, and contracted services
Tracks and records any changes to authorized capital and stock options
Assists in the resolution of complex non-routine issues
Participates in data security audits with clients
Manages agreements with travel agency, credit card company, phone companies, managed service providers (MSPs), AV company, etc.
Ensures company compliance of financial policies and procedures

AMS currently promotes a flexible hybrid work schedule, with employees expected to work three days per week in the office and two days from home (starting in September 2021).

Education & Experience:
Minimum of Bachelor’s degree in Business or Accounting
5+ years’ experience
Must be advanced user of Quickbooks Desktop Pro
