Detailed Job Description General Summary Administer financial aspects of externally funded grants and contracts in assigned areas, including providing direct support to the Principal Investigators (PIs) including but not limited to accounting, internal and external financial reporting, and budget compliance. Manage Sponsored Programs Accounting outreach efforts including identifying and employing innovative and effective communication methods and evaluating their success in broadcasting the intended message; developing and maintaining educational materials; and delivering training to Sponsored Programs Accounting principal investigators and administrators. Coordinate department onboarding efforts for new employees.
Major Responsibilities - Senior Staff Accountant
Provide excellent service to faculty and staff who are involved in the day-to-day administration of sponsored projects.
Develop and maintain comprehensive knowledge of the requirements of sponsored programs administration including the application of Federal cost principles, administrative requirements, and audit requirements (OMB Uniform Guidance); federal acquisition regulations (FAR); NY State guidelines/regulations; and all related RIT organizational policies and procedures.
Work closely with PIs and department administrative staff to provide post-award financial management of grants, contracts, and cooperative agreements, including:
Attend project initiation meetings (PIM) to gain a thorough understanding of awards
Ensure accuracy of project transactions occurs through review and certification of project statements
Assist with creation and delivery of project actuals and projections
Prepare internal and external reports
Review committed and actual effort for key personnel
Review and approve invoices, employee action forms (EAFs), and requisitions
Monitor all projects through monthly reporting; make adjustments as necessary; and, resolve account deficits and/or issues
Possess a thorough knowledge of all Controllers' Office processes that impact SPA including preparation of journal and budget entries, accounts payable (invoice payment forms, purchase order payments, travel expense reimbursements), accounts receivable, procurement card transactions, payroll and student account adjustments
Perform other accounting and financial analysis tasks and participate in special projects as requested by management.
Major Responsibilities - Outreach Specialist
Manage the SPARC Training and Certification process including the development of the schedule, identifying co-presenters, updating of content, tracking the progress of participants and planning milestone events.
Develop proactive strategies to enhance the level of service provided to new and existing PIs and department administrators.
Design and disseminate communication materials to PIs and administrators through email, print, custom training and the SPA website to enhance the understanding of sponsored program post award administration across the University.
Evaluate effectiveness of the communication strategies and redesign the outreach plan elements for ongoing comprehensive communication with research community, including all educational materials.
Develop and analyze metrics to ensure effective outreach and communication strategies for PIs and administrators.
Make recommendations regarding possible changes or enhancements to processes based upon input from PIs. Ensure that management is informed of unresolved/open issues.
Participate in a minimum of 40 hours of training/professional development annually (or a pro rata amount based on standard working hours) applicable to the employee's current role.
Required Minimum Qualifications Requirements:
Bachelors degree in accounting or business administration required or an equivalent combination of education and relevant experience.
Three to five years general accounting experience required with preference given to applicants with applicable experience in a higher education setting.
Excellent verbal and written communication skills
The ability to interact effectively and professionally with individuals at all levels of the organization
Advanced knowledge of Microsoft Office Suite of products required
Hands-on post award grant administration experience preferred along with knowledge of Federal OMB Uniform Guidance.
Prior experience developing educational materials, internal communications as well as presenting and delivering training/workshops
Experience with an enterprise-wide financial applications software system
