Essential Duties and Responsibilities:
The Business Services Coordinator (BSC) for the School of Architecture, is responsible for accounting and purchasing annual activities totaling approximately $425,000 in a mix of State Operating/Fees, Discretionary, Centers/Program Areas, Grants and Contracts, and Sponsored Programs. The BSC works in coordination with under the supervision of the CoAA Director of Business Affairs, but reports indirectly to the Director of School of Architecture. The incumbent will collaborate closely with SoA program directors and CoAA staff that includes: Marketing & External Relations; Academic Advising & Assessment, and the Director of Major Gifts. The BSC is responsible for the coordination of financial planning for the School of Architecture within University procedures, accounting systems, e-Commerce regulations, and IT processes. The BSC works with various administrators and directors in budget planning and management and provides monthly and as-needed reporting. The BSC is the primary agent for purchasing/procurement/contracting, deposits and payment processing, financial record-keeping, and a range of compliance and audit activities related to: 1) SoA program and service area activities; 2) sponsored programs (scholarships, awards, grants, contracts); and, 3) general office/administrative operations. The BSC is a financial user of the Banner system, a user of the 49erMart purchasing system, a financial account manager (FAM) for Archibus, and a user of the Electronic Payment Authorization Form (EPAF) system to submit student and non-student employment assignments and faculty special payments. The BSC serves as the SoA's lead manager and accountant for all e-Commerce activity and may serve as the Purchase Card (P-Card) program manager and transaction reviewer for all SoA purchase cardholders. The position will provide additional accounting services across the college, as needed and assigned.
Minimum Experience / Education:
Required Minimum Qualifications:
Bachelor's degree in business administration or a related discipline; or an equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
University Preferred Qualifications:
Four year degree in a related business function and two or more years of experience in accounts reconciliation, business processing, office management, or human resources; or an equivalent combination of training and experience.
Preferred Education Skills and Experience:
- This position has a preference for a Master's degree. It is strongly preferred that a degree be in business management or accounting.
- Three to five years of experience in a related position/field is required with a preference for work experience in an educational setting.
- Work experience in an arts- or architecture-related environment is desirable but not required.
- Technical skills required include: demonstrated ability using financial and information systems to create and update records, and using computers for data management, analysis and the display of results and reports; experience with Microsoft Office Suite programs (including Word, Excel, Access, and Power Point); and, the ability to create and share materials for business decision-making and reporting purposes. Use of excel pivot tables on a regular basis and other advanced level skills in excel is expected.
