Support the smooth operations of the Business Office through database entry, analysis and reporting. Manage electronic and hard copy recordkeeping for accounts payable, accounts receivable, financial aid, payroll, and human resources. Serve as the initial point of contact for community members with the Business Office. Provide additional administrative support to Business Office colleagues as needed and serve as backup for certain responsibilities.

Specific duties and responsibilities will be coordinated based on the needs of the Business Office at different times during the fiscal year.
Cross-training with the Accounts Payable Specialist so each can serve as the other’s backup.
Help with the collection of receipts/documentation from employees for Chapin business accounts with Amazon, Bank of America (purchase cards), etc.
Ensure timely and accurate recording of charges, payments, and adjustments in student billing utilizing the TADS portal and serve as primary liaison with TADS (or other third-party billing companies) regarding the management of our online student billing process.
Process all cash, checks, and credit card receipts and record deposits and bank transfers to journal entries in the appropriate general ledger accounts.
Generate cash receipt journals including credit cards for Annual Giving, Campaign, and Special Gifts as per Advancement’s classification of funds
Responsible for staying up to date on outstanding balances and following up as necessary with collection communications for all outstanding accounts.
Primary liaison with Dewar (or other insurance providers for Chapin families) and filing all insurance claims in an accurate and timely manner.
Input journal entries
Help with reconciling gifts with the Advancement Office
Run and distribute monthly reports from the general ledger to provide timely budget information to Budget Managers
Assist year-end audit tasks
Compile and verify the accuracy of documentation for submission to the grantor.
Follow up payments with the grantor
Ensure full completion of all FA applications (including supplemental materials) and ensure that data is entered properly into the third-party FA portal.
Responsible for incoming and outgoing mail, office supplies, filings, etc.
Bachelor’s Degree, preferably in accounting, with relevant experience
Knowledge of Blackbaud, TADS, Microsoft Excel, and basic database computer applications
Ability and willingness to adapt to and acquire new software applications and technical skills
Attention to detail and accuracy and ability to follow through
Ability to work independently and as a part of a collaborative team
Demonstrate initiative and a positive, helpful attitude

Chapin’s single building provides a unified learning environment under one roof for all students, the 128 faculty members who teach them and the 85 staff members who support all other aspects of school life. An ambitious construction project to be completed in 2020 will feature an entire floor dedicated to the arts and a gymnasium with suspended running track—all with spectacular views of our urban location. The Hayot Center for Innovation, to open in 2020, will provide our entire learning community the opportunity to extend our commitment to interdisciplinary inquiry-based investigations and explorations, deepening students’ interests through experimentation, invention and the development of out-of-the-box solutions to complex issues.
