Advertised Job Summary:
The Payroll Operations Analyst is responsible for independently performing complex duties with respect to the semi-monthly payrolls for all faculty and staff including the accurate processing of position and job separations and related Annual Leave payouts in a PeopleSoft HCM system in accordance with established University policies and procedures, as well as federal and state regulations. This includes calculating and analyzing leave without pay calculations, salary overpayment calculations, and working with the Payroll Operations Manager on special projects. Provides guidance to employees concerning complex payroll issues.
Responsibilities:
- Review all Annual Leave payouts and determine necessary payroll actions, taking into consideration potential salary overpayments and additional pay upon separation that may impact the final Annual Leave payout. Coordinate with the Payroll Operations Manager and the Payroll Operations Senior, to ensure the absence balances are updated accordingly with the Absence Management team. Ensure the annual leave payouts are properly reported and reconciled in each semi-monthly payroll cycle. Work with Benefit deductions team and Payroll Retirement analyst to review state retirement implications and payroll benefit adjustments on leave payouts and apply accordingly. Work closely with departments on cases where there may be restrictions on Annual Leave payouts (i.e. grant requirements, etc.) and ensure all payouts are handled correctly. Work with Payroll Operations Senior to ensure all overpayments involving annual leave are properly collected and all overpayment details are maintained for audit purposes in the overpayment packet and the overpayment log.
- Identify all salary overpayments and prepare overpayment packets to include analysis, calculations, letters, and any supporting documentation for review and auditing purposes. Responsible for preparing all other salary overpayment packets identified by other payroll staff members and submit overpayment packets for review. Support Payroll Operations Senior responsible for reviewing salary overpayment packets/letters/calculations, and Payroll Operations Manager responsible for finalizing the overpayments and recording accounting entries, with any requested tasks.
- Under the direction of the Payroll Operations Manager, analyze payroll tables and calculations. Perform review, validations, and corrections of all data received. Review off cycle check requests and determine if check is eligible to be completed. Analyze the issues involved and prepare request accordingly. Research questions from employees and departmental contacts concerning payroll data and payroll polices and analyze data accordingly. Respond with appropriate information and process data accordingly.
- Verify and validate information through employment verification requests both written and verbally. Research, resolve, and respond to all employment verifications from SC Department of Employment & Workforce, Federal investigations, Public Service Loan Forgiveness, other employers, etc. received by phone or email accurately and timely. Communicate effectively and efficiently to all parties involved in obtaining verification information. Maintain effective record keeping for all employment verifications handled.
Advertised Minimum Qualifications :
Bachelor's degree and 3 or more years of experience, which may be substituted by equivalent combination of certification, training, education, and/or experience.
