Position Summary:
The Staff Accountant is an integral part of the Business Office responsible for general accounting, audit, and budget-related functions reporting to the Chief Financial Officer. This position is responsible for administering and maintaining financial bookkeeping systems for accounts payable, supporting the bank reconciliation process, preparing and entering journal entries, and general bookkeeping duties. As part of a small team, they will support and assist with questions and requests from parents, students, faculty, and staff and work closely with other Business Office staff members to coordinate and organize workflow.
The Staff Accountant role requires managing highly confidential information, superior administrative and organizational skills, and comfort working with numbers in a detailed capacity. This position requires strong interpersonal and communication skills, experience in effectively communicating key data, and flexibility to balance day-t0-day priorities with longer term goals and projects.

Essential Duties and Responsibilities:
- Responsible for supervising and leading accounts payable and accounts receivable, ensuring accurate and timely financial information.
- Communicates accounting policies to employees and ensures compliance with such policies.
- Completes expenses and payments by receiving, processing, verifying, and reconciling invoices and reimbursements.
- Processes and reconciles corporate credit card statements.
- Assists in the annual budgeting process.
- Supports Business Office audit and reporting procedures.
- Assists in month-end closing procedures, including preparation and review of account reconciliations.
- Prepares monthly financial statements for respective departments, working with other administrators and department heads concerning budget performance and forecasts.
- Consolidates monthly financial packets for Chief Financial Officer and Board of Trustees.
- Maintains and prepares annual 1099 reporting.
- Assists with the preparation for the annual external audit and schedules for Form 990 filing.
- Assists with DASL reporting as it relates to Business Office data.
- Responsible for overall organization of Business Office records retention.
- Maintains files such as vendor contracts, certificates of insurance, and W-9s.
- Assists with annual business insurance renewals and ongoing insurance inquires including accident reports and travel insurance for student trips.
- Cross trained in all Business Office functions and procedures in order to cover for co-workers in their absence including payroll, budgeting, accounts receivable, and student billing.
- Maintains office equipment and supplies, including ordering.
- Work closely with other school offices to ensure smooth daily operations
- Provides administrative support to the Chief Financial Officer for special projects.
- Perform other duties as assigned by the Chief Financial Officer.
Professional Skills and Personal Qualifications:
- Bachelor’s degree strongly preferred in a relevant field.
- Strong written and verbal communication skills.
- Strong quantitative skills including general accounting and comfort with a variety of technological applications (MS Office/Google Suite, specifically spreadsheets, Financial Edge, Veracross, ADP Payroll experience a plus).
- Maintain confidentiality of all school information.
- Customer service focus with positive energy.
- Demonstrated analytical and problem-solving skills, with attention to detail and accuracy.
- Ability to exercise sound judgement and work effectively with personnel, students, and families.
