BUDGET ADMINISTRATOR
Salary: $70,000 to $80,000 depending on experience
Position Summary:
The Budget Administrator is responsible for providing support in budget/finance operations in the Graduate School (GS). The Administrator reconciles expenditures for existing funded projects, submits payment requests, and tracks divisional purchase orders and corporate credit card spending. They are responsible for producing adjunct contracts, assisting in creation of monthly supplemental payroll, and working collaboratively with the Budget team. This position will report to the Director of Finance and Operations.
Responsibilities:
Budget/Finance:
- Manage a set of budget(s) related to research departments.
- Assist with the development of the annual divisional budget and provide regular updates on a quarterly basis and as needed.
- Track revenues and expenditures for Grants and Contract budgets per grant term and assist with the preparation of financial reports, including record keeping for matching funds.
- Work with the Grants Accountant to ensure revenues are received and work with Project Directors to ensure expenditures remain in alignment with approved budgets. Monitor recoveries from grants and contracts.
- Produce journal entries as needed to ensure timely maintenance of the general ledger, and assist in year-end closing procedures.
- For unrestricted funds, assist with expense projections and monitor logging and reconciliations; analyze major categories of expenses throughout the fiscal year.
- Prepare check requests and ensure timely and correct payments to vendors and individuals.
- Maintain an up-to-date log of GS and Student Services OTPS expenses.
- Reconcile all accounts and assist in report creation as needed.
- Assist in gathering documentation for annual audit.

Purchasing/Procurement:
- Produce and track division’s purchase orders and track corporate credit card spending on a monthly
- Assist faculty members and GS staff in procurement of goods and services.
- Other duties as they emerge.
Payroll/Human Resources:
- Work with department chairs and leadership to post open Graduate School position listings.
- Coordinate and oversee the adjunct appointment process, work with Human Resources to ensure required documentation is completed, and provide support in reconciling and projecting quarterly adjunct expenses.
- Support creation and reconciliation of monthly supplemental payroll and ensure data integrity in the electronic management system; work with Human Resources in making changes as required.
- Work with the Director of Finance and Operations to support the monthly payroll reconciliation process.
- In conjunction with the Registrar's Office, coordinate payments to faculty who serve as mentors under the NYS Internship credential, IMP’s, and individualized instruction.

Administration:
- Generate and mail all adjunct appointment letters.
- Provide support in managing fiscal aspects of key annual events, such as Graduation and other special events.
- Respond to all inquiries about budget questions and research answers to bring closure to fiscal issues.
- Assist with preparing communiqués to the division for updates to policies, reminders of deadlines, etc.
- Provide administrative support to the Director of Finance and Operations and Senior Director of Finance, Operations, and Analytics.

Qualifications:
- Bachelors degree in Finance or Business Administration, Masters preferred
- Excellent communication and interpersonal skills, and attention to detail
- Ability to work independently, as well as collaboratively as a part of a team
- Successful experience working with faculty and Project Directors
- Two years of prior work experience in non-profit or educational setting
- Demonstrated record of taking initiative and problem solving skills
- Advanced knowledge of Excel and Microsoft Suite
- Knowledge of Google App Suite, including Google Sheets and Docs.
