Detailed Job Description
- Manages the Library's 300 plus print subscriptions. Routinely uses specialized software applications (Serials Solutions, Sierra, and OCLC) and vendor sites (EBSCO) to track and maintain access to current print subscriptions. Routinely responds to and resolves user inquiries regarding access problems through communication with publishers and/or vendors for titles received in print and electronically. Monitors list of serials not yet paid and contacts vendors to procure invoices in a timely manner. Consults with bibliographers regarding retention, binding and replacement of missing issues. Reconciles bindery invoices for payment. Explores and starts new print subscriptions at the request of the RIS department, or library management.
- Regularly compiles a list of potential claims from the Integrated Library System; reviews check-in record and notes to determine if item should be claimed. Regularly reviews previously claimed issues through continuous, extensive communication with publishers and vendors until claim is resolved. Communicates with publishers and vendors concerning the non-receipt of materials, changes in format, cessations and sample issues. Resolves all problems with publisher and/or vendors. Performs direct preparation of the serials to be bound on a quarterly basis and obtains missing issues. Consults with the college librarians regarding retention, binding and replacement of missing issues.
- Performs direct preparation of the serials to be bound on a quarterly basis and obtains missing issues from a variety of sources. Receives and processes the quarterly serials bindery shipments.
- Continuously monitors and orders for titles available for purchase with credit card on an as needed basis. This includes order every year titles or titles with irregular publishing schedules.
- Creates initial records check-in, item, and brief bibliographic records for the receipt of new materials and edits print journal full bibliographic records reflecting title changes, cancellations, withdrawals, new titles, and cessations as necessary. Determines which fields of the MARC record for print journals need to be edited to reflect changes in the bibliographic information in the library's in-house Integrated library system. Liaisons with metadata department to coordinate larger updates to the catalog.
- Performs fiscal reconciliation of three credit card invoices on a monthly basis as well as supporting the year-end fiscal close. Organizes receipts for multiple departments and serves as the first signatory on the monthly credit card reconcile. Works with Manager of Serials and Acquisitions in conjunction with the RIT Libraries accountant to resolve discrepancies. Works with vendors to obtain proper documentation of purchases if needed.
- Serves as backup to the Multiformat Acquisitions Librarian when that staff member is out of the office.
- Trains and supervises student employees. Writes and updates student procedures for students. Provides verbal and written feedback to student workers in partnership with other members of the department
