Job Summary
Apply accounting principles and practices to a limited range of accounting, budgeting, and/or other fiscal functions. Work with PI to determine personnel expenditures, project budget forecasting, and other fiscal management.
Duties & Responsibilities
- ACCOUNTING MANAGEMENT
- Manage accounting and expense reporting for federal grant awards and provide documentation of budget expenditures to sponsored agencies. Complete monthly reconciliation of all awards in a timely manner.
- Monitors grant budgets by originating and/or verifying adjustments and transfers. Resolves account coding issues with submitting units and processes correcting journal vouchers when needed.
- Serve as primary resource for the posting of expenses in for departmental transactions, including t-card purchases, p-card purchases, and travel expense reports.
- Download monthly EDDIE statements and reconciles to internal shadow system. Data entry of financial information to departmental database, making necessary adjustments and reviews for accuracy. Assists in fiscal year end close out.
- Assists with the timely purchase of goods, services, and equipment utilizing departmental P-Card, T-Card and iBuy procurement applications. Work closely with appropriate OBFS office to facilitate and resolve issues with purchases and payments in an accurate and timely manner. Resolve aging encumbrances. Renew and maintain assigned standing purchase orders.
- Attends training sessions to increase knowledge and /or skills related to assigned duties. Performs other related duties as assigned.
- Charge Code Reviewer role in Chrome River. Routes and approves transactions to appropriate fund manager. Ensuring transactions are routed in a timely fashion.
- Assist faculty with employee appointments and raises on their Sponsored Research Projects.
- Prepares or assists in preparing reports for ISEE/ASC staff, Post-Award, and external agencies as requested by departmental supervisor.
- Reviews subcontract invoices, verifies information, ensures funds are available, obtains PI approval, and then processes invoice vouchers for payment.
- Reviews and reconciles grant statements on a monthly basis to verify information and ensure that expenditures are allowable and that funding is available. Prepares monthly grant financial statements for distribution to Principal Investigators from a shadow system.
- Reviews and approves iBuy, PCard, ChromeRiver, and TEM transactions and provides an interpretation of policies when required.
- Independently keep abreast of changes or updates to University policies and procedures as they relate to accounting systems and procedures.
- Complete ad hoc and customized financial reports and projections for PIs, UIUC SPA, and external funding agencies.
- Other duties as assigned appropriate for an Accountant I.

Minimum Qualifications
1. Any one or any combination of the following, totaling three (3) years (36 months) from the categories below:
A. Work experience and/or training in Accounting or a closely related field
B. College course work and/or training in Accounting or a closely related field (including 12 semester hours in accounting)
- 30 semester hours equals one (1) year (12 months)
- Associate's Degree (60 semester hours) equals eighteen months (18 months)
- 90 semester hours equals two (2) years (24 months)
- Bachelor's Degree (120 semester hours) equals three (3) years (36 months)
Preferred Qualifications
SPARCED certification
Knowledge, Skills and Abilities
- General knowledge of accounting principles, including cost analysis, budget review, journal entries and financial reporting.
- Proficiency with accounting systems and advanced use of Microsoft Excel.
- Effective verbal and written communication skills.
- Excellent keyboarding, grammar and proofreading skills to ensure accuracy and minimize errors in data entry.
- Strong interpersonal skills that reflect courtesy, diplomacy and a collaborative approach to develop and maintain effective working relationships.
- Ability to work independently and to exercise good judgment and discretion in the performance of work assignments.
- Ability to multi-task and prioritize work accordingly to meet deadlines while staying on task with daily assignments.
- Knowledge and respect for policies and procedures of the University of Illinois and State of Illinois.
- Knowledge and awareness of federal grants and University grants and contracts management.
- Proficiency in Banner Financial System and other University financial systems such as FabWeb, and TEM expense management.
This is a 100% full-time Civil Service 0010 - Accountant I position, appointed on a 12-month basis. The expected start date is as soon as possible after closing date. Salary is commensurate with experience, but minimum hourly rate is $18.39.
