This is the key administrative staff position within the College of Arts, Humanities, and Social Sciences (CAHSS), responsible for collaborating with the Dean, Deanâ™s Office staff, and faculty and staff colleagues throughout the college and university to plan, develop, approve, administer, implement, and evaluate policies, procedures, and initiatives for the college. The person in this position will work with the college to propose and implement administrative decisions, provide strategic advice to the Dean, and represent the college and its interests on university committees and to external partners.
The salary range for this position starts at $74,000 and will depend on qualifications and experience. This is primarily an on-site position with an opportunity for flexibility.
Job Duties Collegiate Administration and Operations (30%)
Serve as a liaison between the college and service units (HR, Finance, etc.) on campus and within the University of Minnesota system.
Meet regularly with senior leadership and team leaders to ensure the collegiate administrative operations are running efficiently and are effectively meeting needs.
Develop relationships to advance the collegiate mission.
Supervise staff across various collegiate and departmental units.
Ensure efficient day-to-day operations and business needs are met by coordinating workflows among the staff.
Provide direct supervision to and leadership for the deanâ™s office staff, including team administrative office staff and work study students.
Serve as primary administrative contact if dean/associate dean are unavailable.
Strategic Collaboration and Planning (30%)
Advise the dean on financial, operational, and strategic matters.
Provide support for academic projects, e.g., schedule development.
Lead and facilitate specific administrative initiatives that advance the collegeâ™s mission and/or operations and align with broader university strategic plans and/or areas of focus. This requires identifying the goals of engagement, building relationships within and outside of the institution to help meet those goals, creating the appropriate (infra)structures to accomplish those goals, leading the process for success, and working effectively with faculty and staff to understand and address needs.
Project Management (20%)
Serve as project manager and coordinator for key collegiate strategic initiatives.
Monitor and summarize progress on the strategic plan as well as on key initiatives in the college-wide strategic plan.
Assist with accreditation, assessment, and compliance efforts.
Facilitate collegiate initiatives for student success and faculty achievement.
Provide executive support to collegiate advisory boards and select committees.
Resource Stewardship (10%)
Provide oversight of college and departmental budgets in collaboration with the dean, and other college leadership and lead accountant.
Serve as the liaison between Finance and HR for the college.
Analyze financial data and generate reports to identify trends and forecast future needs. Look for efficiencies and optimization of unit resources to advance mission and vision (including DEI efforts).
Manage procurement and usage of furniture and equipment in alignment with budgets and college/university policies and procedures.
Collaborate with facilities to oversee complex building renovations, space utilization, office and building moves, offsite storage, key control, and facilities.
Assist in payroll and support the merit process.
Policy Development and Alignment (10%)
In collaboration with the dean and collegiate colleagues, assist with the development, interpretation, and implementation of college policies.
Coordinate and share institutional knowledge (e.g., university/college policies and procedures, resources, collective bargaining agreements, campus/college operations) and administrative expertise to college and department/program faculty and staff.
Required Qualifications
BA/BS degree with 6 years of experience
Experience with financial planning or budget management.
Exceptional interpersonal skills and the ability to build strong relationships with faculty, staff, department heads, directors, and administrators.
Demonstrated commitment to advancing justice, equity, diversity, and inclusivity.
Preferred Qualifications
Masterâ™s degree in Business Administration (MBA), Public Administration (MPA), or related field (highly preferred).
Experience working in a higher education setting (highly preferred).
Experience advancing equity initiatives within their organization.
Experience supervising staff in a similar environment.
Proven track record of successfully managing department budgets.
Experience with financial reporting tools and software (e.g., Banner, PeopleSoft).
Proven track record of achieving financial goals for large projects typical of collegiate operations (e.g., large center grants).
Knowledge of human resource management principles and practices.
Experience with project management methodologies.
Strong leadership skills with the ability to motivate and inspire staff.
Excellent organizational skills with the ability to prioritize and manage multiple tasks simultaneously.
