The Assistant to the Vice President of Advancement will serve as a confidential liaison by providing direct support to the Vice President of Advancement (VPA). The person holding this position must use good judgment in prioritizing multiple tasks and assignments; be able to interact with senior officials in government, SUNY, the Foundation Board, Empire State University leadership etc. on behalf of the VPA in a confidential manner; and establish procedures to meet priorities while maintaining an efficient workflow. The selected incumbent must be able to coordinate and project-manage for the VPA with a high level of confidentiality. This Assistant will coordinate information flow by acting as liaison among executive staff, board members, and the public. The Assistant will understand and will play an active role in the management of the department's daily operations, research projects, publications, and affiliates. The Assistant will also support the Vice President in analyzing and preparing the annual budget request.
Specific Duties and Responsibilities Include:
Assist the VPA as they work towards improving current Advancement team operations and practices to achieve long-term vision and goals.
Designee for all Vice President of Advancement-related inquiries in their absence.
Build relationships and act as a liaison and as appropriate, directly correspond for the VPA with senior officials in government, SUNY, the Foundation Board, Empire State University leadership etc. in a confidential manner.
Responsible for the oversight of the preparation and organization for Foundation Board and board committee meetings including ensuring the OnBoard board portal is current with all required documents.
Build and maintain a relationship with the Finance Office, in particular with the Foundation Accountant, and develop an understanding of the University accounts that are funded through Foundation philanthropy.
Responsible for preparing and drafting general correspondence for VPA on behalf of the Advancement Office and maintaining confidential correspondence and contact records in our database.
Initiate and maintain confidential prospect profile report requests on behalf of the VPA and senior university leadership.
Responsible for managing, planning, and scheduling (internal and external) VPA-initiated meetings and events.
Manage Advancement budget, including overseeing and tracking all State and Foundation budget accounts administered by VPA.
This role may have additional duties as it relates to administrative staff oversight and supervisory responsibilities.
Job Requirements: Required Qualifications:
Bachelor's degree or a combination of education and experience
A minimum of five years' experience in a professional office setting
Familiarity with Microsoft Office Suite
Excellent Communication and Interpersonal skills
Demonstrated organizational and project tracking skills
Demonstrated ability to handle sensitive and confidential information with discretion
Preferred Qualifications:
Familiarity with Microsoft Teams
Budget management experience
Special Information:
Some evening and/or weekend engagement with stakeholders may be required
Occasional travel may be required to fulfill university-wide commitments

Additional Information: Rank/Salary: Management-Confidential / $65,000-$70,000, dependent upon experience and qualifications.
