Provides highly skilled administrative support service. Plans and assists director with coordination of all departmental operations and business management. Responsible for daily office management, complex level decisions, exercising initiative and independent judgement and supervision of departmental student support staff. Responsible for compliance with university records management and retention.
Maintains departmental financial records in support of departmental accountant.
Coordinate departmental travel, gifts/scholarship records, annual inventory audits and reports.
Maintains office supply inventory, supply requests, purchases, and delivery documentation, and reconciliation of procurement card account.
Processes documentation, paperwork and eForms for employee positions and maintains personnel records.
Executes an effective system of internal controls concerning records retention and develops and updates retention schedules and a manual of operating procedures for records retention, storage, and destruction.
Serves as departmental RMC (Records Management Coordinator). Maintains departmental Key Auditing Records.
Provides front reception customer service, promotes a calm, welcoming environment for students with disabilities; oversees scheduling of disability student/Accessibility Specialist appointments.
Supervises large student employee group, including hiring, training, scheduling and TCP timekeeping.
Participate in SAR Center staff meetings, take minutes, and post for professional staff review.
Organizes meetings, maintains calendar of collaborative events, and SAR Center event planning.
Performs other duties assigned.
Bachelor's degree with 2 years upper-level secretarial experience.
Prepare complex correspondence and reports; manage financial transactions such as account reconciliation, travel requests and reimbursements.
Degree in English, Communication or Business is a plus.
Experience working in a full-time, professional position in a university or college.
Experience in public relations or marketing is a plus.
Experience with individuals with disabilities is a plus.
