Description:

This position is responsible for performing financial and many operational functions of the School of Theatre and Music including accounting and budgeting activities, specialized expense and income data analysis, preparation of supporting documentation and financial management reports; and interfacing with regulatory agencies to ensure compliance and adherence to university policies and procedures; as well as operational functions such as managing insurance, contracts, vendor agreements and payment processing, rental agreements, project approvals and financials, donation and earned income deposits, and biennial equipment inventory reporting. In addition, this position may support HR functions such as timesheet, payroll and HRFE processing. Responsible for maintaining confidential, sensitive, and complex materials within the School. Performs other related duties and participates in special projects as assigned.

Duties & Responsibilities:

Financial Management (65%)

Function as an advisor to the Director in financial matters.

Assist the Director with development of an annual budget for the School. Liaison with College staff to coordinate finance activities on advisement of the director.

Participate in long-range planning and goal setting when requested by the Director.

Generate routine and ad hoc reports and data analysis.

Help manage the School accreditation/review process.

Monitor STM expenditures, cash management, and cost projections to ensure that projects and operations are within established budgets; provide regular reports to those managing budget areas within the School.

Provide analysis of operating ledger and general ledger transactions of all types (such as billing, inventory, purchasing, payables, accounts receivable, human resources, payroll, faculty research funds, grant funds, donations, facility and equipment rentals, publications, telecom, insurance, and facilities); verify accuracy and perform reconciliation monthly, annually, and as needed; identify, investigate, and resolve incorrect transactions of all types and make adjustments as needed; and ensure that proper documentation exists for all transactions.

Function as a charge code reviewer and ensure that transaction documents are processed correctly and in a timely manner in Banner, Ibuy, P-Card and T-Card Systems, and other University systems.

Manage university P-Card and T-Card unit program and daily reconciliation of transactions to expense accounts and generate P-Card and T-Card reports. Responsible for budgeting aspects of grant management for School.

Produce reports to the Director and/or grantees with expenditures and anticipated expenses.

Prepare financial statements and reports i.e., reports to grant funders.

Update expense, revenue, and prepare internal recharge monthly reports for each of the cost centers using billing and general ledger.

Payroll expenses and obligations reconciled to internal labor and time keeping records. Post budget information to accounting ledgers or other related documents in Banner modules.

Operations Management (25%)

Manage the following operational functions of the School: insurance; contracts; vendor agreements and vendor payment processing; facilities projects financials and approvals; donation and earned income receipt, acknowledgement, and record keeping; and biennial equipment inventory reporting.

Support HR functions such as timesheet, payroll and HRFE processing as needed.

Other (10%)

Other duties as assigned by the Director.

Minimum Qualifications Required:

1. A. Bachelor's degree with a major in Accountancy or a related field AND two (2) years of professional level accounting experience.
   OR
   
   B. Possession of current registration as a Certified Public Accountant (CPA), Certified Management Accountant, or a valid license to practice Public Accounting (LPA).
   OR
   
   C. Master's degree in Accountancy or a related field.
   

Preferred Qualifications:

• Familiarity with the arts.
• Two years of finance experience in an academic or creative setting.
• Demonstrated proficiency with university accounting and financial policies, procedures, and systems: Banner, EDDIE, ViewDirect, P-Card Solution, TEM, Web Intelligence, iBuy, FM Web and/or similar systems.
