The Staff Accountant/Administrative Assistant provides a broad range of accounting, administrative and clerical support to ensure the smooth and efficient operation of the cooperative’s business functions. Under moderate supervision the position assists with day-to-day financial activities, maintains accurate records, supports staff, and helps coordinate office operations. The role requires attention to detail, organization, confidentiality, and the ability to manage multiple responsibilities in a small-team environment, Reports to the VP of Finance & Administration.
ESSENTIAL TASKS
The tasks listed below are those that represent the majority of the time spent working in this class. Management may assign additional tasks related to the type of work of the class as necessary.
Essential Duties and Responsibilities
Accounting Duties
Prepare and process accounts payable in a timely manner. This function requires coding and posting of invoices, processing receiving slips, verifying quotes on purchase orders to invoices, printing and preparing checks and other disbursements weekly.
Prepare and process the annual completing of IRS 1099 forms for the Cooperative vendors and Board of Directors. Responsible for reconciling year end.
Prepare journal entries and supporting schedules. Responsible for scanning support documentation into the system.
Prepare and responsible for the accurate completion and filing of Sales and Local Tax Returns to South Carolina Department of Revenue on a monthly basis.
Assist with annual budgeting and audit preparation.
Process expense reports and maintain accurate financial documentation.
Monitor and record cooperative credit card usage and employee reimbursements.
Administrative / Office Support Duties
Provide administrative support to the General Manager and other staff as assigned.
Prepare correspondence, reports, and meeting materials for the board of directors.
Record and maintain official records, including board minutes and corporate documents.
Maintain office and kitchen supplies.
Greet visitors and handle incoming calls and correspondence professionally.
Schedule and coordinate meetings, travel, and training arrangements.
Assist with cooperative communications, newsletters, and public information materials.
ADDITIONAL JOB FUNCTIONS

Ability to maintain confidentiality of cooperative and member information.
Professional demeanor and strong interpersonal skills for working with staff, board, and members.
Operates a variety of types of office equipment including computer, printer, calculator, fax machine, copier, postage machine, typewriter, telephone, shredder, etc.
Provides backup for Senior Accountant when necessary. Must periodically cross train to stay abreast of procedures.
EDUCATIONAL REQUIREMENT
Associate or bachelor’s degree in accounting, business administration, or a related field is required.
EXPERIENCE REQUIREMENTS:
Minimum of 2–4 years of accounting or administrative experience, preferably in a utility, cooperative, or nonprofit environment.
Experience with accounting software (e.g., QuickBooks, NetSuite, or similar) and Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
New Horizon Electric Cooperative, Inc. is a member-owned, nonprofit cooperative with five electric membership cooperatives in the upstate of South Carolina.
