The Payroll & Accounting Specialist is responsible for processing payroll from start to finish for multiple clients. In addition to payroll responsibilities, this position will support the broader accounting function through bank reconciliations, financial reporting, and audit preparation. The ideal candidate is detail-oriented, dependable, and able to manage multiple priorities independently in a fully remote environment.
Key Responsibilities
Process full-cycle payroll for multiple clients, including data entry, review, and submission.
Validate timesheets, salaries, overtime, and leave entries in systems such as Skyward, CSIU, Tyler, Prosoft, or PowerSchool.
Prepare, verify, and distribute payroll reports and registers.
Reconcile payroll-related accounts and coordinate with client business offices for approvals.
Ensure proper deductions for taxes, benefits, PSERS, and other withholdings.
Submit direct deposits and generate payment files accurately and timely.
Prepare and file quarterly and annual payroll tax reports (941, W-2, etc.) as applicable.
Maintain accurate and confidential employee payroll records.
Assist in the setup of new employees, terminations, and changes in payroll status.
Support bank reconciliations, account analyses, and general ledger review.
Assist with financial reporting and audit preparation, including gathering and organizing supporting documentation.
Communicate with district or municipal HR and business office staff to resolve discrepancies.
Support special projects such as system transitions, audit requests, and process improvements.
Qualifications
Required:
Minimum 3 years of payroll processing experience, preferably in a school district, municipality, or government finance setting.
Working knowledge of payroll systems such as Skyward, CSIU, Tyler, Prosoft, or PowerSchool.
Strong understanding of payroll laws, reporting, and compliance requirements.
Proficiency in Microsoft Excel, Google Workspace, and general accounting principles.
High attention to detail, accuracy, and confidentiality.
Ability to manage multiple priorities and meet strict deadlines.
Associate’s or Bachelor’s degree in Accounting, Business, or related field.
Preferred:
Experience with PSERS reporting, Pennsylvania local tax withholdings, and governmental accounting standards.
